NOTES FROM NOVEMBER 13th 2015 REGULAR MEETING


A meeting of the ICC was held on Friday, November 13th, 2015 in the UF/IFAS Communications Building. The meeting was chaired and called to order by Jimmy Anuszewski at about 10:00 am.

PRESENT: At least 30 members participated.

Security: (previous discussion)

Macs that need antivirus per UF WiFi Security, Jimmy would recommend Avira. This software does not require any extra steps to activate, as ClamXav did.

Microsoft

November's Microsoft patches are listed in the link. Current risk assessments can be found here.

Jimmy has had at least a dozen users with Outlook crashing problems since Thursday, Nov.12. There doesn't seem to be any consistency to why it's crashing and I haven't seen any fixes on the UF IT Discussion list besides a supposed download update from Microsoft.

Adobe

Flash and Shockwave have updates here. There have been 3 Flash updates since our last meeting.

Java

Java updates were in August for Java 8U66.

Apple

There have been several Apple updates, including a new system update, OS 10.11.1. Apple also released an update for Office 2016 that fixes the El Capitan compatibility issue.

For those of you that have Mac users, Lync 2011 does not allow contacts to be added since the upgrade to Exchange 2013. As of right now, there is no way around this until Microsoft releases Business Skype for Mac (2016).

There was also talk about which operating systems we need to support in IFAS, while Windows is the major concern, there should be concern that Apple has ceased supporting 10.6 and earelier OS's, which could leave a large vulnerability since older Apple computers are still on the network.

SAS

SAS University Edition recently had an update. Please visit this link.

Other

Peoplesoft was recently updated and that caused a big problem. Seems that a lot of browsers were reset to default settings, even though website exceptions stayed in place. You can find the settings requirements here. This seems to have fixed the problem after the update. (there is a clear your cache popup when logging in, some have reported that fixes the problem while the majority of my users said it didn't make a difference.) Spencer Young noted that he removed "ufl.edu" from the compatibility list and it worked. He also created a .reg file that changed everything without having to manually keep changing everything. You can contact Spencer if you'd like to have a copy of that file. Dewayne Hyatt suggested he could add it to GPO but we need to figure out exactly what needs to be changed.

Dennis also asked about the My Request ticket system for Shared Services. Seems Fifield Hall has it installed on their computers but McCarty Shared Services has not had it installed (not sure if they have plans on this or not).

I've had several people ask me about the new Skype Business and if it will be available for Macs. The official word from Microsoft is that it will not be available until sometime in 2016.

Jimmy discussed if anyone had any ideas on how to incorporate an "off UF network client" onto a UF Bridge (for services such as Guest Lecturers during Distant Ed).

Dewayne discussed that you can add your personal contact onto Skype Business client and you can IM back and forth. So maybe Office 365 could incorporate Skype Business and Lync. Wendy and Jimmy will work on the G001 computer to see if this can be accomplished.

Content Management System (CMS) for UF: Entering preparation phase (previous discussion)

As of right now, Terminal 4, V8, has been delayed until December. I'll just leave this here through the new year.

Version 8 training will be online within CANVAS on November 20th. If you are using version 7, please use the Version 8 training as T4 will be updating as soon as it's available.

It was mentioned by Tennille that if you are going to migrate from Wordpress or Drupal or any other CMS, please back up your pages, posts, etc to Word docs and have them available just in case the migration does not work as planned. You also need to provide a list to Tennille and Santos of site information that needs to be saved. In regards to backups of websites, data is normally kept on the web servers, which are backed up multiple times, daily.

The main UF Website is now redesigned and is still in T4. The templates for T4 will be released in Spring, 2016 and the HTML/CSS markups will be released before that. If you would like to use the new template on your T4 website, please specify that BEFORE you migrate to T4.

Backups/Server Drives

I was asked to add this to the agenda. Some Department and REC IT people are wondering if there's official policy in regards to backups and what some IT people are doing for it. From my understanding, that's why we have server drives, but I'll let the discussion start amongst everyone. During the discussion, it was addressed that the server drives should be used because they are backed up multiple times during the day and can be access through VDI at any time. It was also stated that external hard drives should not be relied on nor should they be purchased using department funds.

Admin rights became a separate topic during this discussion and there was a split amongst the participants about how Admin rights should be dispersed. One side stated that Admin rights should only be granted based upon the situation of the user. An exmample Jimmy gave was field computers that needed to have software installed or updated while away from the IT person or users that are in lab that need to install specific software at a moment's notice. All of this would be LOCAL Admin rights. Others stated that it was too much to try and update every computer at the same time (such as Java updates) or to install the same software on multiple computers. Consensus is do what works for each individual situation but rememeber that ultimately, it comes down to the IT person's responsibility if something should go wrong with that computer.

PrintSmart initiative (previous discussion)

Santos has created a step-by-step guide for the PrintSmart install. You can find it....on the WIKI! And he's added to it!
Please pay attention to the new models (8870 and 8880), do not move the printer while it is hot. They use an ink that is wax based and could cause problems when bumped or moved.

For those asking about Toner pickup, here is some information from Wendy Williams: If you find that you have ten or more USED toner cartridges that need to be recycled, please contact Recycling Department at 392-7396 to coordinate special pickup before August 3rd .

IFAS IT Updates (previous discussion)

Chris is on a cruise, so Dewayne and Wayne will give us updates...

Wayne updates the ICC on migrating. Fileshare should be moved over the next week and departments will be making a changeover and have lots of free space available. VDI updates are coming.

Dewayne stated that there were over 400 successful Java updates/installs and is now packaging Flash updates, too. If you have any questions in regards to how to use SCCM, please email Dewayne.

Office 2016 is now available in the software center. He stated that he has not had any issues with it. He will begin working on the new Java build. Dennis asked if anyone knew a good way to figure out which version of Flash is installed on a group of computers besides having to go from computer to computer. Dewayne said that he's working on it. (Windows 8 and 10 both manage Java through Windows update)

Also, the Mcafee reports that have been sent out shows computers that still have it installed. You may have to reinstall the old agent just to uninstall successfully. Approximately only 15 computers are left with it installed.

SAS depot updated

The SAS 9.4 installation depot (\\ad.ufl.edu\ifas\SOFTWARE\SAS\SAS9.4_32bit ) has been updated to permit installation on Windows 8.1 AND to allow installation on 32 bit Windows installs.

GatorBox (leaving this here)
Research Computing has launched GatorBox, an enhanced storage option for research. GatorBox features a dropbox-like interface provided by ownCloud software. The new interface offers a convenient and familiar interface as well as desktop and mobile clients, with simple file sync and share functionality. Peer 2 Peer is scheduled for November 20 at the Law School, from 8:30 to 12pm. Wendy Williams has speerheaded the UF IT Training Committee and is doing a good job.
