A meeting of the ICC was held on Friday, October 13th, 2023, from the comfort of our own homes and/or offices! The meeting was chaired and called to order by Roderick Tatom at about 10:00 am.

IFAS IT Director’s Updates (Andrew Carey):

1. Replacement for Sharewell

        • Including IT directors in product selection

        • Announcing new products soon

2. Shared Infrastructure

        • Feedback appreciated

3. Upcoming Changes to Storage Limits in Office 365

        • Changes won't go into effect until Oct 2026 due to resigned contract

4. UF Affiliation to Service Matrix

        • Discussing how UF affiliation connects with services

5. 2 Factor Changes

        • Ensuring access for HR needs

        • Emphasizing proper licensing for extension employees

        • More than A1 licensing required for service accounts

6. Focus on IFAS-Specific Issues

7. Comparison of 4-H Devices (Jam vs. In Tune)

        • Determine which offers better features for IFAS

8. UF IT Admin Account Management

9. Matt Newman's Request (ABE)

        • Seeking higher-end workstations for faculty

        • Contacts from Dell provided (AMB EPIC PROCESSORS)


ICC Chair Updates (Roderick Tatom)

Website Update:

    1. Meeting with Joe Gasper

        • Discussed ICC website with Joe and formalized a plan for launching

        • Continuation of website over the intranet (not public)

        • Website updates until year-end, then decommissioned.

    2. Agenda Page Enhancement

        • 1-page agenda for the entire year with all meeting agendas

        • Cleaning up agenda page starting in Jan 2024

        • Including directory of ICC members

        • Files on the website will not be deleted, remaining on the server

    3. Software Updates:

        James Hardemon's Update on Software Licensing

    •  SPSS & Amos renewal order notifications are being sent latter today. Dept should place their renewal orders prior to Thanksgiving. However, new license keys will not be released until the first week in Dec. 2024. All license keys will not stop working until after the new year.

    •  Not renewed Microsoft Add-on subscriptions such as Project, Visio, Power Automate, Power BI "Premium" will stop working on Oct 31,2023. This for subscriptions that were not renewed. IFAS units with MS add-on subscriptions should check their dashboards.

    •  Sigmaplot renewal notifications will go out next week.

    •  Matlab renewal notifications will go out within 2 weeks.

    •  DeepFreeze renewal notifications will go out next week.

    •  Google Drive storage expansion is now available through SLS. https://software.ufl.edu/software-listings/google-drive-storage.html

    •  CrashPlan subscriptions moved under SLS's portal (this year) if anyone needs to buy

    •  CrashPlan. https://files.software.ufl.edu/licensing/bootstrap.fcgi/  The Crashplan landing page is still: https://it.ufl.edu/services/crashplan-workstation-cloud-backup

    •  Grammarly Premium licensing may not be known to all of your users. Participation is growing in this service: https://software.ufl.edu/software-listings/grammarly-premium.html

    •  The Graphpad Prism Academy resources are no longer tied to a specific installed product. Anyone can gain access: https://www.graphpad.com/support/faq/prism-academy/

    •  Minitab renewal notifications were sent last week.

    •  Zoom room orders can be placed through SLS.

    •  Works in extension offices, discussion of system admins' role and its impact on employees

    •  Reviewing existing policies


IFAS Helpdesk Supervisor Updates (Jonathan Chirino)

                  • Dell contacts for ICC's product advisement

                  • New users to start with the website (Purchasing Hardware for IFAS) for any questions

                  • SCCM site version is past support but still working and being fixed

                  • All operating systems still in support, including Windows 11 (22H2 only)

                  • Helpdesk tool now requires 2-factor authentication

                  • New employee in Helpdesk

                  • 300 iPads donated for 4-H


Audio Visual Updates (Marion Douglas)

                  • Manual upgrade AxisTV in October for Windows 10 and 11


ICC Vice Chair Updates (Cordell Cowdrey)

                  • Assisting in picking up surplus items for ICC members not on campus

                  • Be prepared to purchase add-ons to aid machines in functioning better

                  • Dell Premier site offers discounts, email Stephanie Shaw for better prices
